Keys are not the only thing you should be able to locate after receiving a prefab home. If a problem appears later, you need to know what was built, what changed and who was involved. Plan the documentation before handover rather than searching through scattered messages afterwards.

The Spanish LOE framework

For works within its scope, article 7 of Spain’s Building Regulation Act, the LOE, covers the project incorporating approved changes, the reception record, identification of the participants and use and maintenance instructions. These constitute the Libro del Edificio, which is delivered to the end users.

The project professionals must determine applicability and any additional documents required in the particular case. Marketing a unit as prefabricated or transportable does not settle that question.

An index that remains useful after handover

This is our suggested filing system, not an exhaustive statutory checklist. Agreeing it with the people directing and delivering the work helps assign responsibility before assembly is complete.

Suggested folder Practical check
Final project Which version describes what was built and where approved changes are recorded.
Reception Records, documented reservations and follow-up on their resolution.
Participants Each business or professional’s role and contact details.
Use and maintenance Instructions for the identified home, installations and equipment.
Other applicable procedures An index agreed with the professional for the project and competent authority.

Use a clear version rule

Our organisational recommendation is to name each file by subject, date and version. Keep commercial quotations separate from the final project file. A drawing labelled final should be distinguishable from the layout you asked to change during manufacture.

As an editorial example, imagine the bathroom moved before assembly. Ask which final document records that change and who validates it. Keeping only the original sales brochure does not answer either question.

Track documents that are still missing

Create a table with the missing document, responsible person, agreed date and status. Use it in discussions with the project team or supplier. Do not infer a particular signing or payment obligation from this filing guide. Disagreements about reception, warranties or the contract need advice based on the actual documents.

Keep a recoverable copy and make the relevant operating instructions accessible to whoever uses or manages the home. Update the file when equipment is replaced or documented work is carried out. For checks on delivery day, use the linked handover checklist: this article concerns the records that should remain useful afterwards.
